Sending 1099's

Every January we have to send 1099’s to our contractors. That is almost always limited to our interpreters.

Each interpreter who gets paid more than $600 in the previous year is required to send us a W-9 form, which includes their social security number of tax id number. These are saved in our “mayfirst-admin/contractors” folder in Nextcloud.

We find the total amounts for each interpreter in our GnuCash system by reviewing the “Professional Fees -> Interpretatin” category. The name of each interpreter is in the notes. Make a total for each different interpreter. Remember: only interpreters paid more than $600.

Next, we have an account with Tax 1099.

  1. If there are any new contractors that we have never paid before, click People -> Manage Recipient to add them.
  2. For each contractor,
  • Click Forms -> New Form and choose “1099 NEC”
  • Choose the Recipient from the drop down list.
  • Enter the total amount paid in the “Nonemployee compensation” box.
  • Leave everything else blank
  • Save and continue
  1. When all contractor forms are entered, click the “eDelivery” and “TIN Match” checkboxes. And then slick “Submit for this payer”
  2. Download the employer 1099 form and save it in Nextcloud: mayfirst-admin/irs/taxes/YYYY
